AI Business Systems ("we", "us", "our") is committed to protecting your personal data. This policy explains what data we collect, why we collect it, and your rights under UK GDPR and the Data Protection Act 2018.

  • Contact submissions: name, email address, phone number, company name, and any details you provide via our enquiry or booking forms. Where you provide a phone number and tick the SMS consent box, we also record your consent timestamp and the exact wording version you agreed to.
  • Automatically captured: IP address, browser type, pages visited, and session duration via analytics tools.
  • Payment details: handled directly by Stripe or Gumroad — we never store card data ourselves.
  • Business contact details: we may collect publicly available business contact information to reach out about relevant services.

2. How We Use Your Data

  • Responding to enquiries and delivering agreed services
  • Sending marketing communications you have opted in to
  • Analysing website traffic to improve performance
  • Meeting legal obligations and preventing fraud

3. Legal Basis for Processing

  • Legitimate interests — for B2B outreach and improving our services
  • Contractual necessity — to deliver services you have engaged us for
  • Consent — for marketing emails and SMS/text message communications (you can withdraw at any time)

4. Third Parties We Share Data With

We use the following third-party services, all of which have their own privacy policies:

  • n8n (workflow automation)
  • Notion (project management)
  • Gumroad (digital product delivery)
  • Stripe (payment processing)
  • Cloudflare (site performance and security)
  • Hostinger (website hosting)
  • Twilio (SMS/text message delivery — only used where you have given SMS consent)
  • Make.com (workflow automation)
  • ClickUp (lead and project management)

Where data is transferred outside the UK, we use Standard Contractual Clauses or rely on UK adequacy regulations.

5. How Long We Keep Your Data

  • Enquiries: up to 12 months
  • Active clients: for the duration of the relationship, plus any period required by law
  • Marketing lists: until you unsubscribe
  • Mobile numbers: until you opt out, or up to 12 months after last contact. Numbers on our SMS suppression list are retained permanently to prevent re-contact.

6. Your Rights

Under UK GDPR you have the right to:

  • Access the personal data we hold about you
  • Have inaccurate data corrected
  • Request deletion of your data ("right to be forgotten")
  • Restrict or object to processing
  • Data portability
  • Withdraw marketing consent at any time

7. Complaints

If you believe we have not handled your data correctly, you have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk.

8. SMS and Text Message Communications

When you provide your mobile number on our website and tick the SMS consent box, we may send you text messages about your enquiry and related services via Twilio (twilio.com), a third-party messaging platform.

What to expect:

  • The first message delivers the results of your calculator session or confirms your enquiry
  • Subsequent messages relate to your enquiry or services we offer
  • Messages may be sent automatically by our system
  • Every message includes our name (AI Business Systems) and opt-out instructions

To opt out: Reply STOP to any text message at any time. Your number is suppressed immediately and permanently — you will not be contacted again, even if you use the site in future. You can also email info@aibusinesssystems.io to request removal.

Legal basis: Consent (UK GDPR Article 6(1)(a) and PECR Regulation 22). We store your mobile number and a record of your consent — including the timestamp and the exact wording version you agreed to — for as long as needed to service your enquiry, or until you opt out.
